Subscriptions should stay understandable.

BuboSoma plans are billed in advance on the cycle you select. Prices exclude applicable taxes. Your selected plan determines practitioner capacity, included usage, and support or migration services.

Trials

Each legal business may use one 14-day trial. No payment card is required. Trial accounts may have reasonable limits on email/SMS sends and storage, rather than the full volume included with a paid tier. On day 15, choose a paid plan to keep using BuboSoma. If no plan is selected, the account pauses in read-only mode: you can view and export your data, but booking, calendar changes, payments, messages, staff actions, and all active practice-management functions are disabled. You have 90 days from the end of your trial to select a paid plan or export your data. After that period, account data may be deleted or de-identified, subject to applicable legal, regulatory, security, and backup-retention requirements.

Cancellation, renewal, and plan changes

• Monthly plans may be cancelled at any time and remain available until the end of the current billing period.
• Annual plans are paid in advance and renew automatically unless cancelled before renewal. Annual payments are non-refundable once billed except where required by law.
• Upgrades take effect immediately; any eligible prepaid balance is credited toward the upgrade. Downgrades take effect at the next renewal.
• Failed payments may be retried. BuboSoma provides a 7-day grace period where reasonably possible before suspension.

Rate lock

Your selected base-plan rate remains locked while your account remains continuously active on that plan and in good standing. Moving to a different tier or returning after cancellation applies the then-current rate for that tier. This rate lock does not include taxes, third-party pass-through costs, or new paid add-ons unless expressly stated.

Clear definitions prevent surprises.

Location. A location is a separate street address. Multiple treatment rooms at the same street address count as one location. Removing a location takes effect at the end of that location's billing period. Historical records for archived locations remain subject to the applicable retention policy.

Practitioner. A practitioner is an active team member who is bookable for appointments. An owner or administrator who is not bookable does not count toward a practitioner limit. Practitioner limits apply business-wide, not per location. Archived practitioners retain the relevant records but no longer consume a seat.

Core, Expand, and Scale capacity limits are hard caps. Adding a bookable practitioner beyond the plan limit requires an upgrade. Apex includes up to 20 practitioners; additional active, bookable Apex practitioners are $15 per practitioner per month, prorated for the month added and removed in the next billing cycle after archival.

Lifetime access, defined plainly.

Founding 20 provides a limited, one-time-payment path for a selected BuboSoma base plan. The offer is limited to five completed, non-refunded memberships per tier, for a maximum of 20 total memberships, and ends when a tier is claimed or on December 31, 2026, whichever occurs first.

• A Founding membership is attached to one legal business. It may transfer only with a bona fide sale of that business and reasonable supporting documentation.
• After activation and payment in full, an initial lifetime payment may be refunded within 14 days. A refunded completed membership reopens that tier’s Founding seat. Lifetime-tier upgrade payments are final.

• Founding reservation deposits and activation. A $500 Founding reservation deposit reserves one available Founding 20 place in the selected tier, subject to availability. The deposit is credited in full toward the selected lifetime-plan price if the customer activates that plan. A reservation does not provide immediate BuboSoma access or activate the Founding lifetime rate.

  BuboSoma expects to begin activating practices on or before October 1, 2026. Before activation, the customer may request a full refund of the reservation deposit. If BuboSoma has not begun activating practices by October 1, 2026, the customer may request a full refund of the reservation deposit.

  When BuboSoma is ready to activate the customer’s practice, BuboSoma will contact the customer to confirm activation and send a separate payment request for the remaining balance of the selected lifetime plan. The remaining balance is not charged automatically from the payment method used for the reservation deposit. Access and the Founding lifetime rate activate only after the customer confirms activation and pays the remaining balance in full.

  If the customer declines activation or does not complete the separate payment request by the stated deadline, BuboSoma may cancel the reservation and refund the $500 deposit to the original payment method.

• Existing customers considering a Founding-tier upgrade should contact BuboSoma for the approved payment arrangement before placing a deposit.

Founding referrals

When a referral results in a completed Founding membership and the 14-day refund period ends, the referrer and new member may each receive a processing-fee credit up to one month of the relevant normal plan price. Credits have no cash value, are not transferable, cannot reduce processing fees below zero, and are forfeited if unused at cancellation or downgrade. Referral codes must be entered at checkout and cannot be changed later. BuboSoma may exclude existing customers, existing leads, or businesses under common control.

Usage rules that keep costs visible.

Plan allowances and paid usage are measured per billing period and do not roll over unless BuboSoma states otherwise in writing. Included text and email allowances are per account and are not multiplied for each location.

Transactional and marketing messaging

Appointment confirmations, reminders, reschedules, cancellations, and receipts are transactional communications. Marketing content, including campaigns, promotions, offers, or content encouraging a future booking, uses the applicable marketing allowance. Adding promotional content to a transactional message may cause the entire message to be treated as marketing.

Additional marketing SMS segments are $0.015 each. A standard SMS segment is a qualifying text-message segment; longer messages or certain characters may use multiple segments. MMS is not currently supported. You are responsible for obtaining all required permissions and consents before sending marketing communications.

High-Volume Email

For customers joining in 2027 or later, the High-Volume Email add-on is $100 per month per location and includes up to 500,000 email sends during each billing period. After the included allowance, additional email blocks cost $10 per 10,000 sends. Any part of a 10,000-send block is treated as a full block, and unused included sends and purchased blocks do not carry into a later billing period.

Authorized email blocks appear as one aggregated line item on the next monthly BuboSoma invoice. The account owner is responsible for authorized usage up to the selected cap. If the payment method cannot be charged, BuboSoma may pause additional sending. New or unusually large lists may be subject to a first-send throttle, and all sending must use permission-based lists and comply with reasonable deliverability, complaint, security, and acceptable-use rules.

Extra capacity, priced up front.

The standard card rate applies to Visa, Mastercard, Discover, American Express, tapped/swiped cards, and cards entered online by the client. The keyed-in rate applies only when staff manually enter a card for a charge. Chargeback and dispute fees are passed through to the practitioner whose transaction is disputed. ACH typically settles in three to five business days.

For AI Receptionist, a new conversation begins after 24 consecutive hours without client interaction. Multiple messages within that period count as one conversation. Automatic reminders and confirmations do not count. AI Receptionist currently supports SMS only. Only account owners may enable paid AI usage beyond an included allowance or set or change an available spending cap.

Additional storage is bought in 1 TB increments. BuboSoma does not automatically delete data when the storage limit is exceeded; new uploads pause until usage is below the limit or additional storage is added.

Moving should not become a penalty.

Mindbody switch credit. BuboSoma may provide up to $500 in BuboSoma account credit for eligible Mindbody switching costs with reasonable documentation, available to new Scale and Apex members. The credit may be used for subscriptions, locations, add-ons, or processing fees. It is not cash, cannot be refunded, cannot be used for taxes or third-party pass-through charges, cannot reduce a balance below zero, is not transferable, and is forfeited upon cancellation. The credit remains available while the account is active.

Migration service. Scale and Apex include no-charge migration of supported data. Supported categories are confirmed before migration begins. Stored payment methods generally cannot be migrated like ordinary data and may need to be re-added by clients.

Your business data remains yours.

You may export your client records and practice data at no charge. Payment credentials or tokens, system logs, and proprietary analytics are not ordinarily exportable. After cancellation, BuboSoma makes account data available for export for 90 days before it may be deleted, subject to legal, regulatory, security, and backup-retention requirements. You remain responsible for your own professional, clinical, and legal record-retention obligations.

BuboSoma may update usage limits, add-on rates, or availability prospectively. We provide notice of material changes as required by the Terms of Service. Changes do not retroactively alter a valid rate lock or specific Founding 20 price commitment, except where necessary to comply with law or address a third-party pass-through cost expressly excluded from the commitment.
